ODOO'S FUNCTION

Odoo’s current design does not support dynamically switching between internal user roles and portal user roles. Once a user is defined as either an internal user or a portal user, this role assignment remains fixed and cannot be changed seamlessly, which limits flexibility when managing users who may need different levels of access at different times.

CLUEDOO'S FUNCTION

Cluedoo improves Odoo by allowing portal users to get temporary internal access in a simple and secure way:

1️⃣ A portal user submits a Full User Request.

2️⃣ The system switches the user from portal to internal access.

3️⃣ The internal access is granted for a predefined time period.

4️⃣ Once the time period ends, the user is automatically reverted back to portal status.

This approach keeps access flexible, controlled, and easy to manage without manual intervention.

1. Settings > Users > Create an internal user > Set up access right and groups for internal users switching from portal.

Archive user, this user is used for template purpose only.

If you prefer not to configure individual access rights for internal users switching from the portal, you can use the default template named Template for Internal from Portal, which allows you to assign the same access rights to all such users.

2. Settings > Users > Choose portal user >  Assign Template for Switch to Internal for users when they switch to internal.

In this case, our template is Template A.

If you don't assign template for user, default template Template for Internal from Portal will be automatically assign for this user.

3. Tick on Allow Portal Access Internal and Enable idle time to give portal user access right of internal user.

Set the Idle Time to define after how many minutes of inactivity in the internal environment the user will be automatically switched back to the portal account.
4. When Allow Portal Access was chosen, on portal, there is a Switch to Internal User button to allow user to switch to internal system.
Otherwise, if users log out from internal system, it will automatically go back to portal user.

5. There will be idle time in the upper right corner. If you do not have any movement or activity on this page, it will automatically go back to portal user.

6. If you want to set maximum number of portal user can switch to internal in a specific time
Settings > General Settings > Set up Max Portal User Can Login and Time limit

Time limit case
Time limit = 2 minutes
Max portal user = 1
  • portal user 1 login at : 10:40
  • if portal user 1 login at 10:40 + time limit which time limit is 2 so, 10:40 - 10:42
  • portal user 2 cannot login at the time (i.e.. 10:40-10:42)
  • after 10:42 , portal user 2 can login although portal user 1 stills stay in internal after 10:42 (if portal user 1 is still doing his work)
